Refund Policy

Effective Date: December 1, 2025

This Refund Policy forms part of the Terms and Conditions governing the use of Veness Consultants’ website and services. By purchasing services through our website, invoicing system, or online payment platform, you agree to the terms outlined below.

 

Veness Consultants provides professional, relationship-based consulting services that are customized to each client engagement. As such, refunds are limited and governed by both this Refund Policy and our Booking & Cancellation Policy.

 

Veness Consultants delivers advisory, engagement, facilitation, assessment, monitoring, and project-based professional services. Due to the customized, time-sensitive, and relational nature of our work:

 

  • Refunds are not guaranteed

  • All refund decisions are subject to contractual terms and managerial review

  • Work delivered, prepared, or scheduled represents professional time already committed

  • All deposits and advance payments are non-refundable unless otherwise stated in a signed agreement.

  • Deposits secure staff time, project capacity, scheduling, and preparatory work.

  • Deposits are applied toward total project fees.

This Refund Policy operates in direct alignment with the Veness Consultants Booking & Cancellation Policy, including:

 

  • Client-initiated cancellations

  • Rescheduling timelines

  • Workshop and facilitation booking terms

  • Late cancellations and no-shows

Where a conflict exists between this Refund Policy and a signed service agreement, the service agreement shall govern.

For fixed-scope or contracted project services:

 

  • Cancellations more than 14 calendar days before the project start date may be eligible for a partial refund of unearned fees, less administrative and preparation costs.

  • Cancellations within 14 days of project commencement are non-refundable.

  • Once work has begun, all completed and in-progress work is non-refundable.

For hourly billing and retainers:

 

  • Fees for time already delivered are non-refundable

  • Unused retainer hours may be considered for refund only if requested in writing and if not restricted by contract

  • Any approved refund is issued at the discretion of Veness Consultants

  • Cancellations more than 10 business days prior may be eligible for a partial refund

  • Cancellations within 10 business days are non-refundable

  • All preparation, travel, materials, and staffing costs are non-refundable once incurred

For services paid by credit card, e-transfer, or online processing platforms:

 

  • All approved refunds will be issued to the original method of payment only

  • Payment processor transaction fees are non-refundable

  • Processing times range from 10–15 business days, depending on the financial institution

Refunds may be considered in limited exceptional circumstances, including:

 

  • Serious illness

  • Community emergency

  • Force majeure events

All exceptional requests must be submitted in writing and are assessed on a case-by-case basis.

To the fullest extent permitted by law:

 

  • Veness Consultants shall not be liable for indirect, incidental, consequential, special, or punitive damages

  • Total liability, if any, shall be limited to the fees paid for the specific service giving rise to the claim

  • We do not guarantee outcomes, approvals, regulatory decisions, or third-party actions

 

All services are provided using professional judgment, best practices, and good faith effort.

Veness Consultants shall not be held liable for delays, disruptions, or cancellations resulting from circumstances beyond reasonable control, including but not limited to:

 

  • Natural disasters

  • Pandemic or public health emergencies

  • Government restrictions

  • Travel disruptions

  • Acts of God

  • Community emergencies

In such cases, services may be rescheduled where possible. Refunds, if any, will be assessed at Veness Consultants’ sole discretion.

Once services have been delivered and accepted—whether advisory, facilitation, assessment, reporting, or monitoring—no refunds will be issued.

Veness Consultants reserves the right to modify this Refund Policy at any time. Updates will be posted on this page with a revised effective date.

 

Veness Consultants acknowledges that all services involving Indigenous Nations, lands, knowledge systems, and communities are guided by Nation-specific laws, governance structures, cultural protocols, and decision-making processes. By engaging Veness Consultants, clients recognize and respect that Indigenous protocols, timelines, and leadership may directly influence project scope, sequencing, engagement processes, and delivery schedules.

 

Clients agree that Indigenous Nations retain full authority over their own knowledge, data, participation, and decision-making, and that Veness Consultants’ role is to support—never override—these rights and responsibilities. Delays, adjustments, or changes arising from the respectful application of Indigenous protocols shall not constitute breach of contract or grounds for refund, cancellation penalty claims, or liability.
